Job Summary
Arbor Acres has an exciting opportunity for an Administrative Clerk to join the team. We are seeking a highly organised individual with strong administrative abilities and a practical understanding of systems and processes to support daily operations effectively.
Minimum Requirements
Grade 12 / National Certificate
Certificate in Business Administration and computer skills will be advantageous
Strong computer literacy with experience in Microsoft Office, particularly Excel, Word, and Outlook
Excellent numerical skills and analytical ability
At least 2 years’ experience in an office administration or similar role
Strong communication skills, both written and verbal, including face-to-face and telephonic interaction
Professional work ethic and standards
High level of accuracy with exceptional attention to detail
Valid driver’s licence
Key Duties and Responsibilities
Perform general filing and recordkeeping, including compiling, sorting, and verifying incoming and outgoing documentation
Prepare weekly hatch reports using processed data for submission to Head Office and relevant departments
Compile weekly document packs for Head Office, including stock sheets, purchase requisitions, and delivery notes
Check and verify operational documentation such as set notifications, hatch settings, hatch forecasts, and delivery records
Prepare and verify weekly water usage reports
Coordinate routine monitoring documentation for veterinary testing and hygiene sampling
Maintain and update veterinary files related to site visits
Assist with maintaining Health and Safety files in collaboration with supervisors
Manage payroll and HR documentation, including timesheets, leave applications, overtime approvals, staff changes, and training records
Distribute payroll and HR-related communication and documentation to staff
Update training materials as required and coordinate staff training initiatives
Develop task plans for department supervisors to ensure timely completion and submission of all required documentation
Report IT-related issues to the IT Department and Head Office
Maintain and update the site asset register
Perform additional operational and administrative tasks as required
