Job Purpose

The Despatch Clerk is responsible for coordinating material orders, verifying finished goods loads, maintaining accurate order records, and ensuring effective communication between production and Lordsview.


Key Responsibilities

1. Materials Orders

Verify and check all orders submitted by Admin Clerks.

Escalate urgent material requests to Lordsview.

Ensure uplifts are processed and completed within required timelines.

Confirm material quantities and codes (raw and packaging) with production Admin/Controllers before transferring via the ERP (GP).

Repeat verification for materials being returned before loading trucks headed to Lordsview.

Ensure Admin Clerks sign for materials received.

Issue a signed gate release form to drivers after offloading.

Confirm and sign off on driver arrival and departure times.

Update turnaround spreadsheets with matching times.


2. Finished Goods

Allocate finished goods orders using the production book.

Ensure blue slips are signed and removed during load allocation.

Record pink vs blue slip information on the spreadsheet.

Upload loads on Sizanani and allocate trucks upon arrival; only release once trucks depart.

Ensure daily priority orders are processed and checked based on routing lists.

Verify that allocated loads are staged correctly, labelled, and ready for dispatch.

Ensure invoices are prepared and printed before truck arrival.

Obtain all required signatures on invoices (Coordinator/Loadmaster, Security, Driver).

Ensure production areas at NID3 and Picasso remain clear of finished goods.

Attach Chep documents to invoices and update Chep records in the system.


3. Stock Counts

Assist with and coordinate accurate cycle counts.

Lead monthly stock counts.

Investigate variances and implement preventative measures.


4. Coordination

Ensure team members follow company policies and procedures.

Oversee team performance and task completion.

Maintain proper timekeeping for all team members.

Escalate operational issues when necessary.


5. Housekeeping

Return sugar bags to Lordsview with the correct paperwork as bins become full.

Request Enviroserv collection for brown and plastic pallets once 60 accumulate across gates.

Move Gate 2 pallets to Gate 3 once per shift.

Report irregularities, cross-loads, misloads, and damages immediately.

Promote Premier FMCG housekeeping standards.

Ensure compliance during internal and external food safety audits.

Contact Illovo to collect flow bins once eight are available at Gate 3.


6. Health & Safety / Risk Management

Comply with the Occupational Health and Safety Act.

Promote safety awareness among team members.

Enforce SHE policies and ensure adherence.

Ensure stacking height limits are followed.

Operate moving equipment safely.


Qualifications

Grade 12 or equivalent.

Logistics/Supply Chain certificate (advantageous).

1–2 years relevant experience.
