Purpose of the Role
To provide efficient administrative and secretarial support to the Executive: Manufacturing (Bakeries), the Manager Bakery Operations, and the wider Bakery Manufacturing team, ensuring smooth operations and organisational excellence.
Key Responsibilities
Travel & Diary Management
Arrange cost-effective travel (flights, accommodation, visas, transport).
Manage travel claims and credit card transactions.
Maintain diaries and schedule meetings (onsite/offsite).
Administration & Secretarial Support
Raise purchase orders for stationery and service providers.
Manage monthly GP transactions and cost-related processing.
Create and update team documents, SOPs, templates, and communication materials.
Provide general office management: note-taking, filing (digital & physical), printing, binding, stationery, consumables, and petty cash.
Events & Front Office Support
Greet visitors and callers in a professional manner.
Screen and direct calls appropriately.
Assist with refreshments, branding, and event coordination for meetings.
Project a professional image that enhances organisational reputation.
Reporting & Data Management
Compile data for monthly manufacturing Exco presentations.
Prepare weekly and monthly performance reports.
Identify data anomalies for investigation.
Support HR and corporate projects (e.g., surveys, communications, brand ambassador duties).
Qualifications
Matric (Grade 12) β Essential
Secretarial, Business Administration, or PA Certificate β Essential
Microsoft Office Driverβs License (or equivalent) β Essential
Experience
2β3 years as a Secretary, PA, or Office Manager β Essential
Skills & Competencies
Strong knowledge of office administration principles and processes.
Travel and diary management expertise.
Cost control, invoice, and payment tracking skills.
Proficient in report writing and presentation preparation.
Event planning and coordination abilities.
GP 2013 system knowledge (advantageous).
Excellent communication and interpersonal skills.
