Position Overview
IFC is looking for a Program Assistant to deliver proactive administrative and operational support to the Johannesburg Country Office. The role is central to ensuring smooth workflows, efficient coordination, and strong internal communication, ultimately helping IFC advance private-sector development in South Africa.
Key Responsibilities
Administrative Support
Manage team calendars, schedule meetings, and assist with travel arrangements.
Prepare, proofread, and format reports, presentations, and documents according to IFC guidelines.
Organize and maintain both digital and physical filing systems in line with IFC standards.
Office & Event Coordination
Oversee logistics for meetings, workshops, and events (venue bookings, catering, communication).
Use collaboration platforms such as Teams and SharePoint to streamline team workflows.
Financial & Procurement Support
Monitor team budgets and expenditures, ensuring accuracy and compliance with IFC financial procedures.
Support procurement activities by preparing purchase requests, tracking orders, and communicating with suppliers.
Operational Efficiency
Identify areas where administrative processes can be strengthened and propose practical improvements.
Maintain confidentiality, professionalism, and uphold IFC values in all tasks.
Selection Criteria
Qualifications & Experience
High school diploma or equivalent (minimum).
At least 5 years of relevant administrative experience in a professional environment.
Strong skills in Microsoft Office (Excel, Word, PowerPoint) and collaboration tools like SharePoint and Teams.

Excellent organizational and time-management abilities, with the capacity to handle multiple tasks.
Strong attention to detail and accuracy in documentation and communication.
Excellent written and verbal communication skills.
Experience coordinating travel (local and international) and managing meetings or events.
