Role Purpose
The Property Administrator will assist with managing properties to maximize income through effective property management.

A key focus will be on debt collection—ensuring rent and related fees are collected, addressing tenant queries, and maintaining strong professional relationships.

Key Responsibilities

Handle property collections: reconcile rent rolls, review accounts, and follow up with tenants to resolve arrears.

Communicate with tenants professionally to negotiate payment arrangements, explain account issues, and calm irate clients.

Issue letters of demand, manage legal recovery processes, and oversee evictions when necessary.

Administer tenant accounts, including receipting, bank reconciliations, journal entries, and corrections.

Prepare reports: weekly/monthly debtors reports, arrears analyses, and attorneys’ reports.

Ensure tenant queries (rental, deposits, short payments, utilities, etc.) are resolved efficiently.

Support bookkeeping and accounting with deposits, queries, and misallocations.

Maintain company image, confidentiality, and compliance with legal requirements.

Collaborate with colleagues and keep management informed of progress and challenges.

Performance Indicators

Prompt collection of outstanding accounts and minimized delinquencies.

Accurate and timely financial reports.

Strong client relationships and effective resolution of tenant issues.

Compliance with policies and legal frameworks.

Qualifications & Experience

Matric with Bookkeeping.

3 years’ related experience (property field preferred but not essential).

Own transport required.

Knowledge & Skills

Strong understanding of collection procedures, laws, and company policies.

Excellent administrative, organizational, and communication skills.

Proficient in relevant software and office equipment.

Ability to manage workloads under pressure while maintaining professionalism.
