Role Overview
As the first point of contact, the Receptionist will represent the face and voice of GALXBOY. This role involves welcoming visitors warmly, managing the front desk, supporting administrative functions, and ensuring efficient communication and office processes. The position is key to maintaining the company’s professional image and enforcing reception-area security protocols.

Key Responsibilities

Front Desk & Guest Relations

Greet and welcome visitors, ensuring a friendly and professional experience.

Direct guests to the appropriate staff or department.

Maintain a clean, branded, and inviting reception area.

Brand Representation

Act as a brand ambassador, reflecting GALXBOY’s values in all interactions.

Maintain a professional appearance and uphold a positive company image.

Call Handling & Communication

Answer, screen, and route phone calls professionally.

Take and deliver accurate messages promptly.

Provide basic information to walk-ins and callers.

Administrative Support

Handle general administrative tasks (typing, proofreading, scanning, filing).

Assist with drafting professional documents and internal communications.

Provide support to other departments when required.

Mail & Deliveries

Receive, sort, and distribute mail and packages.

Maintain accurate logs of incoming and outgoing items.

Calendar & Meeting Coordination

Schedule appointments, meetings, and events.

Make travel and accommodation arrangements when needed.

Office & Stationery Management

Monitor and order office supplies.

Keep inventory records of consumables.

Security & Access Control

Manage visitor logs and issue visitor badges.

Ensure adherence to health, safety, and security policies.

Financial & Recordkeeping

Track front-office expenses and submit reports to finance.

Assist with basic record management.

Multitasking & Stress Management

Remain organized and efficient in a fast-paced environment.

Prioritize tasks to meet deadlines accurately.

Requirements

Grade 12 / Matric (essential).

MS Office proficiency (Word, Excel, Outlook).

A diploma/certificate in Office Administration (advantageous).

Minimum 2 years of experience as a receptionist or in a front-desk role.

Experience with phone systems, calendars, and office equipment.

Strong communication (verbal and written), organizational, and multitasking skills.

High attention to detail, especially in document handling and data management.
