Role Purpose

The Admin Orders & Outbound Controller plays a key role in managing customer orders, overseeing outbound logistics, maintaining accurate inventory, and handling all required documentation to ensure smooth and efficient supply chain operations.


Key Responsibilities

Order Management & Processing

Receive and verify customer purchase orders via ERP, email, or online platforms.

Validate order details such as customer information, product codes, quantities, pricing, and terms.

Confirm stock availability before processing.

Issue order confirmations within 48 hours.

Prepare invoices and proof-of-delivery documents within 72 hours.

Track and update order progress for customers and internal teams.

Outbound Logistics

Coordinate shipments with logistics partners to meet deadlines.

Prepare shipping documents including packing lists, delivery notes, and compliance paperwork.

Monitor deliveries, resolve delays, and maintain accurate shipment records for compliance and audits.

Inventory Control

Keep stock records updated and track order allocations in ERP systems.

Work with the inbound team on stock counts and inventory checks.

Maintain customer-specific inventory files for performance reviews.

Report discrepancies, shortages, or surpluses promptly.

Customer & Stakeholder Engagement

Provide regular updates on order status, delays, or issues.

Collaborate with warehouse, logistics, and transport teams to resolve problems.

Handle customer complaints professionally and escalate when necessary.

Keep a communication log for service quality improvements.

Compliance & Reporting

Ensure proper filing and archiving of all documentation.

Follow company policies, SOPs, and regulatory requirements.

Conduct internal compliance checks and suggest improvements.

Prepare reports for the Supply Chain Manager, including performance metrics, stock accuracy, delivery statistics, and customer service outcomes.


Requirements

Matric (Grade 12) required; diploma/degree in Supply Chain, Logistics, or related field preferred.

2–3 years’ experience in order management, logistics, or supply chain administration.

Strong customer service and stakeholder management skills.

Proficient in ERP systems (SAP, Oracle, MS Dynamics) and MS Office.

Detail-oriented, problem-solving, and able to work under pressure.

Excellent communication (verbal & written).

Flexible, proactive, and accountable.
