Position: Administrative Assistant I (P13) – Protection Services Division

Location: Auckland Park Kingsway Campus

Key Purpose:

To provide professional administrative support to the Director of Compliance, Risk & Enforcement (CRE) and the team to ensure smooth operations of the division.


Responsibilities:

General Administration:

Perform departmental administrative tasks efficiently.

Draft correspondence, reports, memoranda & meeting minutes.

Maintain office records & arrange workshops, functions, and travel.

Monitor compliance with UJ & regulatory policies.

Client Management:

Interact & liaise with internal/external stakeholders.

Handle calls, queries & greet visitors professionally.

Financial Administration:

Process financial requests, claims & track expenses.

Handle procurement via Oracle (supplies, equipment, quotations).

Manage overtime requests, invoices & reconciliation.

Professional Development:

Attend training & implement supervisor guidance.


Minimum Requirements:

Matric/Grade 12 (NQF4)

3–5 years’ job-related experience

Valid driver’s license

Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)

Knowledge of purchasing & procurement systems (Oracle)

Ability to handle confidential information

Recommendations (Advantageous):

Tertiary qualification in Business Administration or related field.

Administrative experience in higher education, legal, accounting, or audit.

Knowledge of university rules/regulations.
