About the Role

The Administrator: Bookings plays a vital role in shaping the customer and visitor experience. Acting as the first point of contact, this role supports customer service, strengthens customer loyalty, and represents the brand professionally.

The Administrator also assists the Service Advisor to ensure smooth operations and accurate processes from the outset.


Key Responsibilities

Operational:

Schedule workshop appointments for services and repairs, including collect-and-deliver services.

Communicate with customers telephonically to confirm and schedule service requirements.

Ensure maximum workshop capacity is booked by monitoring technician hours, reporting excessive lost hours, and keeping records of staff leave, training, and sick days.

Prepare job cards promptly and ensure customer details are accurately captured and updated in the operating system.

Use the Drive system to update customer information and check for active campaigns.

Capture parts orders using the Resolve system.

Provide preliminary diagnoses to customers (e.g., rattles, intermittent faults, squeaks, gearbox or air-con issues).

Customer Service:

Welcome, assist, and manage visitors/customers in person and by phone (answering promptly within 3 rings).

Understand customer needs regarding work required, scheduling, and mobility to efficiently arrange appointments.

Collect customer details including personal information, vehicle details, service requirements, and availability.

Maintain a clean, welcoming service reception (coffee, newspapers, music, etc.).

Observe and support processes relevant to customer satisfaction while maintaining reliability.

Act as a communication link between customers, service, and sales departments, ensuring accurate information flow.

Handle customer complaints politely and direct them to the relevant department.


Qualifications & Experience
