Job Purpose
This role provides essential administrative support to academic operations across all campuses. It ensures compliance with accrediting bodies, supports learner administration, assists with audits, and helps maintain smooth academic processes. The assistant works closely with internal teams and external partners to uphold high academic and operational standards.
Key Responsibilities
Academic Operations Administration
Provide daily administrative support to campus and national academic departments.
Work with teams to prepare for internal audits, external verifications, PULSE reviews, and accreditation requirements.
Assist with student registrations, processing, programme delivery, and compliance in line with accrediting bodies.
Help implement action plans to improve learner processing and programme delivery.
Assist in gathering and compiling statistical reports.
Support graduation and quality assurance processes.
Student Processing & Certification
Process learner information, progress, results, credits, and certification for CATHSSETA and QCTO.
Manage City & Guilds (C&G) registration, results capturing, and quality checks.
Handle C&G exam registrations and relevant checks.
Capture academic notes and support student registration activities.
Compile monthly reports on accreditation processing and programme performance.
Campus Support & Coordination
Coordinate academic materials distribution and inventory.
Assist campuses with operational or accreditation-related queries.
Collaborate with National Academic Operations to align campus processes with accreditation standards.
Manage supplier quotes, invoices, and payments related to academic operations.
Ensure campus teams adhere to operational timelines.
Product Development & Documentation
Provide administrative support for new programme development by collecting and compiling documents.
Student Experience & Support
Assist with student evaluations of teaching.
Resolve student queries within SLA timelines and monitor escalations on Assist.
Support student services and retention plans.
Contribute to initiatives that enhance student experience.
Work Integrated Learning (WIL) Placement
Conduct industry visits and maintain strong hospitality industry relationships.
Secure internship placements locally and internationally.
Monitor students throughout their WIL period to ensure compliance and quality outcomes.
Minimum Requirements
Qualifications:
Grade 12
Diploma/Degree in Administration or Communication
Experience:
At least 1 year administrative experience
Proficiency in MS Office (including Outlook)
