Purpose of the Role
The Events and Logistics Coordinator will manage and support the planning, execution, and continuous improvement of JGF’s programmes and organisational events.
The role ensures all events are delivered efficiently, on budget, and to a high professional standard — aligning with JGF’s mission and goals.
You’ll work closely with event owners, programme teams, and stakeholders, overseeing logistics, vendor management, and post-event reporting.
Key Responsibilities
Plan and coordinate events with internal stakeholders, source vendors, and manage budgets.
Handle pre-event logistics, vendor arrangements, and stakeholder communication.
Oversee event-day execution, including setup, troubleshooting, and vendor supervision.
Manage post-event processes such as feedback collection, reconciliation, and reporting.
Arrange travel logistics (flights, accommodation, transfers) for programme participants.
Manage branded materials: sourcing, stock control, and distribution.
Support general logistics, including deliveries and material movement.
Maintain vendor records, contracts, and event documentation.
Ensure compliance with JGF policies, contracting rules, and POPIA requirements.
Prepare event risk analyses and post-event evaluations.
Qualifications and Experience
Education: Diploma or NQF Level 6 in Events Management, Administration, or related field (essential).
Experience: 3–5 years in event coordination, logistics, or similar roles.
Experience in non-profit or educational environments preferred.
Proven ability to manage vendors and work independently.
Skills and Competencies
Skills:
Strong organisational and time management skills.
Excellent communication (written and verbal).
Proficiency in Microsoft Outlook, Teams, and SharePoint/OneDrive.
Basic budgeting and reconciliation abilities.
Experience with project management or CRM tools (Salesforce advantageous).
