Purpose of the Role

The Lease Administrator is responsible for creating and managing the legal documentation that defines the relationship between the landlord, tenants, and other stakeholders. This includes ensuring that all lease agreements are accurately drafted, updated on the property management system, and completed within set deadlines.


Key Responsibilities

Prepare lease agreements using the correct, approved templates within the required turnaround time.

Draft leases directly through the property management system.

Communicate important notifications to relevant stakeholders promptly.

Monitor discrepancies related to deposits and bank guarantees, and ensure any issues are corrected.

Ensure that leases loaded onto the system are accurate and meet quality standards before authorisation.

Capture and update reasons for unsigned leases in the property management system.

Assist with reviewing and loading leases for new building take-ons when required.

Maintain and update letting statuses on the system.

Correct any capturing errors to ensure data accuracy and compliance.

Perform regular checks to ensure building plans align with loaded unit data and make any necessary adjustments promptly.

Verify that system information matches signed lease agreements.

File all completed lease documents and supporting paperwork on time.

Follow lease administration processes and company policies as outlined in the procedure manual.


Job Requirements

Knowledge

Understanding of administrative processes (essential)

Familiarity with MDA property management system (advantageous)

Knowledge of document tracking, customer relations, and credit bureau processes (advantageous)

Basic knowledge of financial accounting and common/mercantile law (advantageous)
