About the Role
Glencore is seeking a detail-oriented and well-organized Legal Operations Administrator to support the company secretarial function, focusing on managing the Brightflag eBilling tool, handling access requests, and assisting the Corporate Services team with various administrative duties.
Key Responsibilities
Bank Account Validations
Assist Treasury with vendor bank account verifications and updates.
Provide vendor contact details via Brightflag for verification purposes.
Reject invoices with outdated bank details and notify Treasury for vendor follow-up.
e-Invoicing Support
Handle queries regarding invoices, allocations, or formatting issues.
Work with the Baar e-Invoicing team to resolve errors (e.g., incorrect vendor/entity details, amounts).
Provide invoice handling agreements to Accounting when needed.
Vendor Onboarding
Complete KYC/vendor questionnaires for new vendors.
Liaise with vendors and the KYC team to obtain required documentation.
Support Legal/Compliance in onboarding processes.
Accounting Allocations
Update Brightflag with cost reallocations.
Work with Accounting to ensure changes are aligned with instructions from Legal/Compliance or commodity departments.
System Access Management
Process user access requests for SharePoint, GEMS, and other systems managed by Legal Operations.
Obtain required approvals and set up access accordingly.

Requirements
Relevant NQF qualification.
Minimum 3 years’ admin experience, preferably in a legal or accounting environment.
Strong organizational skills and meticulous attention to detail.
Advanced MS Office proficiency; experience with legal/governance tools (e.g., Diligent) preferred.
Professionalism in handling confidential data.
Ability to work effectively in a fast-paced, international environment.
Excellent written and spoken English communication skills.
Responsible, detail-driven, and proactive team player.
