Purpose of the Role

To provide comprehensive administrative and coordination support for programmes and projects within the Group Security Management Department, ensuring efficiency, compliance, and smooth operations across all project activities.


Key Responsibilities

Coordinate Programme Management Office (PMO) activities, including compiling monthly reports and arranging team events.

Support financial processes โ€” compile budgets, track spending, liaise with vendors, and ensure timely payment of invoices.

Maintain financial spreadsheets to monitor expenses versus budgets.

Prepare and maintain essential project documentation (e.g., business cases, charters, project plans, change requests) to comply with PMO standards.

Gather and manage project reports and updates for relevant stakeholders.

Facilitate communication between internal and external stakeholders throughout the project life cycle.

Maintain an organised project repository for reference and audit purposes.

Schedule and document meetings, distribute minutes, and follow up on action items.

Track lessons learned, risks, and issues to support proactive project management.

Provide administrative assistance to the Project Manager and other team members, including travel coordination and support during special projects.

Guide junior administrators on project and compliance requirements.

Continuously identify and implement improvements in programme administration processes.


Qualifications and Experience

Minimum qualification: National Diploma (NQF 6) in Project Management or equivalent.

Experience: 5โ€“8 years in a project administration environment, with 1โ€“2 years in programme management administration being advantageous.
