The Role

UBS is looking for a professional and service-driven Receptionist to join our Johannesburg office.
In this role, you will welcome clients, provide administrative and secretarial support, and assist with business-wide tasks, including travel coordination and vendor management.
You’ll also be encouraged to adopt AI tools to enhance efficiency.
Key Responsibilities
Reception Duties
Greet and assist clients, ensuring a welcoming office experience.
Answer and manage calls via the switchboard.
Handle internal helpdesk queries, quotations, and purchase/work orders.
Coordinate couriers, driver duties, deliveries, and collections.
Schedule meetings, book meeting rooms, and arrange video/conference calls.
Support events with catering and logistics.
Assist staff with admin tasks such as binding, laminating, and photocopying.
Manage travel bookings and airport transfers for staff.
Liaise with vendors and contractors (cleaning, catering, maintenance).
Maintain stationery supplies and update environmental/energy data systems.
Oversee archiving (Iron Mountain) and PRISS system records.
Secretarial Support
Provide diary and meeting management for the GRESC Department.
Prepare presentations and process departmental expenses.
Take meeting minutes and provide backup support for other secretaries as needed.
Your Team
You will work within the Group Real Estate & Supply Chain Services (GRESC) team, collaborating with other receptionists, drivers, and service contractors.
Requirements
Minimum of 5 years’ experience in a receptionist role.
High school diploma (degree advantageous).
Strong communication skills, written and verbal.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Highly organized, proactive, and able to handle complex tasks independently.
Passionate about delivering exceptional client service.
Comfortable working with evolving technologies and AI tools.
