Job Overview
The successful candidate will provide full secretarial support to the Manager: Water Quality Specialist Services and deliver administrative assistance to the broader department.
Minimum Requirements
Diploma (NQF 6) in Office Administration/Secretarial Studies.
At least 3 years’ experience in office administration/secretarial work at middle to senior management level (5 years preferred).
Valid driver’s license (Rand Water proficiency driving test required).
Proficiency in managing shared electronic records systems.
Strong skills in MS Word, Excel, PowerPoint, Adobe, and Outlook.
Excellent written and verbal communication skills in English (clear, professional, and courteous).
Key Responsibilities
Manage the Manager’s diary and provide full secretarial support.
Deliver administrative support to the manager and departmental management committee.
Maintain the department’s shared electronic records system.
Plan and coordinate departmental meetings and events.
Take accurate minutes/notes during meetings and transcribe from electronic recordings.
Compile, collate, and manage departmental documents, reports, memorandums, presentations, and letters.
Ensure quality and compliance of departmental documents.
Build and maintain strong relationships with internal and external stakeholders.
Follow up on meeting action items.
Handle asset safekeeping, stock-taking, and document filing (attendance registers, timesheets, travel claims, leave schedules).
Conduct research to provide information for management.
Manage the reception desk and handle calls for the department manager.
Knowledge Required
English language proficiency.
Office administration and secretarial practices.
Shared electronic records systems.
Advanced knowledge of MS Office (Word, Excel, PowerPoint), Adobe, and Outlook.
