Job Purpose
The Admin Officer will be responsible for performing general office administration, capturing data, updating technical documentation, and providing full administrative support to the Senior Manager and the rest of the department. This includes managing the ordering and replenishment of aircraft spares, tools, and equipment for regional line stations, as well as ensuring that duty travel and service provider payments are processed efficiently.
Key Responsibilities
Perform secretarial duties for the Manager and team, including handling correspondence and distributing documents.
Raise expense authorisations for contracted maintenance services (MRO).
Compile departmental timesheets, leave forms, and sick notes, and submit to HR.
Consolidate station billing and departmental expenses for submission to Finance.
Prepare and coordinate administrative forms and documentation (Admin 6).
Support the Manager during audits, budgeting, and special projects.
Capture and compile reports on AMOS.
Manage and monitor staff training requirements.
Coordinate and follow up on duty travel arrangements.
Welcome and assist internal and external visitors, providing refreshments when needed.
Take and distribute minutes of meetings.
Order, manage, and control stationery supplies.
Coordinate medical check-ups for staff.
Compile and distribute regulatory documentation (OHS, SMS, QA, etc.).
Update Quality Work Instructions Manual (QWIM) and respond to related staff queries.
Manage AMOS ordering and inventory of spares for regional stations.
Track and update shipments and spares availability for over-border stations.
Arrange travel and logistics for Aircraft on Ground (AOG) and third-party work.
Process billing for all travel-related expenses.
Assist with IT-related queries.
Resolve customer and service provider invoicing queries.
Negotiate rates with hotels for staff travel.
Manage orders for uniforms and personal protective equipment (PPE).
Maintain and monitor the station’s asset register.
Arrange mail, laptop, and electronic item collections and shipments for all line stations.
Prepare and submit overtime reports.
Qualifications & Experience
Grade 12 certificate (or equivalent) is required.
Minimum of 4 years’ experience in office administration (essential).
At least 1 year’s experience in administrative or secretarial work, or a Secretarial Diploma (or equivalent).
PC literate with proficiency in Microsoft Office.
Valid Code B driver’s licence.
Preferred:
Knowledge of AMOS system.
Understanding of SAAT policies and procedures.
