Role Overview

The South African Reserve Bank is seeking a skilled Programme Controls Administrator to provide comprehensive administrative and document control support to the Currency Management Department (CMD). The role focuses on managing and maintaining a secure document repository to ensure efficient handling and protection of all programme-related artefacts.


Key Responsibilities

Manage and oversee an electronic collaboration platform for the centralised storage, classification, and retrieval of programme documents.

Administer and control document access rights, permissions, and security labels to safeguard sensitive information.

Maintain a structured and compliant filing system that supports different document sensitivity levels.

Develop, implement, and monitor metadata standards to ensure accurate document tracking and reporting.

Support administrative processes by maintaining standardised document formats and ensuring controlled access.

Ensure compliance with document control frameworks and prepare detailed reports for management and governance bodies.

Compile programme reports, manage access documentation, and identify or escalate potential risks and issues.

Provide training on SARB document management systems, policies, and metadata standards.

Conduct audits of the collaboration platform, documenting corrective actions and maintaining data accuracy.

Stay informed about industry best practices and technological advancements in document and programme controls.

Recommend and implement improvements to systems, tools, and processes.

Offer additional administrative assistance to the Controls Lead or Programme Manager when required.


Minimum Requirements

Qualification: National Diploma (NQF 6) in Computer Science, Information Science, Information Management, Records and Archives Management, Business Administration, or an equivalent field.

Experience: 3–5 years of experience as a programme document controller, ideally in a construction or project management environment.

Technical Skills:

Proficiency in Microsoft Office (Word, Excel, PowerPoint).

Experience with document management systems (preferably OpenText or SharePoint).

Knowledge of metadata management and standard document control functions.

Familiarity with project structures and tools such as Autodesk Vault or AEC Autodesk Collection is advantageous.
