PURPOSE OF THE JOB
The Training Administrator provides administrative support to the Learning and Development function.
The role focuses on coordinating training logistics, maintaining accurate training records, scheduling training interventions and ensuring that training documentation and compliance records are properly maintained.
The successful candidate will work with employees, training providers, facilitators and internal stakeholders to support the smooth delivery of training programmes.
TRAINING ADMINISTRATION
The Training Administrator will assist with coordinating both internal and external training programmes across multiple divisions.
Key duties include:
- Liaising with training providers and facilitators regarding schedules and administration
- Scheduling training sessions
- Communicating training logistics to employees and stakeholders
- Maintaining accurate training records
- Maintaining attendance registers and learner files
- Keeping training documentation up to date
- Preparing training materials and training packs
- Preparing certificates where required
COMPLIANCE AND REGULATORY SUPPORT
The successful candidate will also provide administrative support relating to training compliance and skills development.
Responsibilities include assisting with compliance documentation and supporting the preparation of Workplace Skills Plan (WSP) and Annual Training Report (ATR) submissions.
The role also involves maintaining audit-ready learner and training files and assisting with SETA-related administration and record keeping.
Training records must be updated according to company and legislative requirements.
REPORTING AND ADMINISTRATIVE SUPPORT
The Training Administrator will capture and maintain training data and records and generate training reports when required.
Additional responsibilities include:
- Updating the Learning Management System (LMS)
- Maintaining accurate LMS information
- Monitoring training attendance
- Tracking training completion records
- Assisting with training expenditure and budget information
- Providing administrative support to the Training Coordinator
- Supporting the HR Manager and Learning & Development team
REQUIREMENTS
Applicants should have:
- 1–3 years of experience in Training Administration, HR Administration or Learning & Development support
- Exposure to SETA administration
- Exposure to WSP and ATR processes
- Good administrative and record-keeping skills
Experience in learnership and apprenticeship administration will be advantageous.
