Job Summary

The Maintenance Operational Administrator is responsible for capturing, managing, and reporting all data generated by the Maintenance Department. This role ensures smooth operations through accurate data management, system oversight, and reporting.
You will manage key systems — including camera systems, vehicle tracking systems (Bidtrack), inventory data, and compliance records — while providing administrative and financial support as needed.


Minimum Requirements

Education & Experience

Matric Certificate (or equivalent) – essential

Diploma or certification in maintenance management, inventory management, or systems administrationadvantageous

Experience in maintenance administration or systems supportpreferred

Experience with Microsoft Power BIadvantageous


Skills & Competencies

Proficiency with maintenance systems (camera systems, Bidtrack vehicle tracking, etc.)

Strong knowledge of inventory management and reporting systems

Excellent organizational and time management skills

Strong written and verbal communication abilities

Skilled in report development and ensuring data integrity

Proficient in Microsoft Office Suite and Microsoft Forms

Ability to troubleshoot and resolve system issues

Able to work independently and collaboratively in a team


Physical Requirements

Ability to work in both office and operational environments.


Key Responsibilities

Camera Systems Management

Oversee the operation and maintenance of all business camera systems.

Conduct regular functionality checks and address issues promptly.

Maintain system logs and generate performance reports.

Vehicle Tracking System (Bidtrack)

Manage and maintain the Bidtrack system for accurate vehicle tracking data.

Add and update vehicle records, and review performance and usage reports.

Stores Inventory & Systems Management

Maintain accurate inventory and asset records.

Track usage, monitor stock levels, and identify discrepancies.

Support planning and documentation for all inventory-related activities.

Financial Administration Support

Provide backup support for the Maintenance Finance Administrator.

Assist with financial reporting, budgeting, and invoicing.

Reporting & Dashboard Development

Develop and maintain accurate reports and dashboards on system performance and maintenance.

Deliver reports to stakeholders on time.

Meeting Administration

Attend departmental meetings, record minutes, and distribute deliverables.

Present dashboard reports and updates on maintenance activities.

Microsoft Forms Development

Design and maintain MS Forms for the Maintenance Department.

Ensure data collection processes are effective and user-friendly.
