Job Summary
The Team Assistant is responsible for providing efficient administrative and coordination support to ensure smooth day-to-day operations within the team. The role involves managing diaries, organizing meetings and travel, maintaining records, processing expenses, and ensuring compliance with internal procedures and policies.
Key Responsibilities
Diary, Meetings, and Travel Management
Manage the manager’s calendar, schedule meetings via Outlook, and ensure virtual meeting links are in place.
Prepare meeting packs, take minutes, and distribute them promptly.
Organize travel arrangements and process approvals in line with company policy.
Coordinate logistics for team events, meetings, and new employee onboarding.
General Administration
Assist visitors, handle document deliveries, and manage correspondence.
Prepare and format Word, Excel, and PowerPoint documents.
Maintain digital filing systems and manage office supplies.
Enforce adherence to company policies on travel, claims, and equipment use.
Maintain up-to-date contact lists and departmental project files.
Accounts and Cost Control
Obtain quotes and process purchase orders with approved vendors.
Verify and reconcile invoices, follow up on payments, and resolve discrepancies.
Manage monthly expense submissions and corporate card reconciliations.
Logistics and Operational Support
Coordinate office moves and liaise with facilities management.
Arrange catering and confirm venue readiness for meetings.
Support supplier onboarding and vendor management processes.
Minimum Requirements
Education: Grade 12 (NQF 4) and a Diploma in Office Administration.
Experience: Minimum of 2 years in an administrative support role; banking experience is advantageous.
