Position Overview
The Tender Administrator plays a key role in supporting the Tender Manager throughout the entire tender process — from identifying opportunities to submitting complete and compliant proposals. This role requires a well-organized, detail-oriented individual who can manage multiple projects simultaneously, communicate effectively, and work both independently and collaboratively under pressure.
Key Responsibilities
Assist the Tender Manager in overseeing the full tender process.
Identify, gather, and distribute tender opportunities to relevant stakeholders.
Prepare, compile, and verify all tender documents for accuracy and completeness.
Coordinate signatures, packaging, and submission of tenders on time.
Communicate with internal and external stakeholders to collect required information.
Ensure all submissions comply with company policies and legal requirements.
Support the Tender Manager in reviewing and analyzing tender specifications and data.
Maintain up-to-date records of all tender activities, submissions, and outcomes.
Generate weekly reports on tender leads and progress.
Provide general administrative assistance to the PMO team.
Monitor and update the tender management system or document control center.
Attend tender briefings and assist with physical deliveries as required.
Be willing to travel when necessary.

Qualifications & Experience
Relevant qualification in Business Administration, Public Administration, or Supply Chain Management.
1–3 years of administrative experience; project management exposure is advantageous.
Understanding of Supply Chain Management, National Treasury Regulations, and PFMA preferred.
Skills and Competencies
Excellent organizational and multitasking abilities.
Strong interpersonal and communication skills.
Ability to work independently or within a team.
Proficiency in Microsoft Office; familiarity with tender or document management systems preferred.
Knowledge of Microsoft Projects and budgeting is beneficial.
High attention to detail and accuracy under pressure.
A valid driver’s license is advantageous.
